Vanira Privacy Policy

Vanira's core promise is that your name and contact details are never given to a real-estate agency unless you ask for it. This page explains what we keep, why, for how long, who it is shared with, and your rights. It follows the Turkish Personal Data Protection Law (KVKK, Law No. 6698). The Persian version is the primary version.

1. Data controller

The data controller (Veri Sorumlusu) operating vanira.homes, the AI assistant "Sara", and Vanira's Telegram and Instagram accounts is:

2. Data we collect

• Your property request: city or area, property type, budget, purpose, timing and any notes you write.
• An optional name and one contact method of your choice (Telegram, WhatsApp, phone, email or Instagram), stored encrypted.
• Conversations with Sara on the website chat, the Telegram bot or Instagram Direct Messages, and Sara's replies. Only the most recent messages of each conversation are kept.
• Telegram or Instagram identifiers provided by those platforms when you message us there, so we can reply in the same chat.
• Contracts and documents you upload for review, stored encrypted on our server.
• Questions referred to our residency expert and the answers.
• Technical data: IP address and browser information in server security logs, and a session cookie required for forms and chat. Vanira does not use advertising cookies or third-party trackers.

We never ask for passport numbers, bank details or identity documents in chat. Please do not send them to Sara.

3. How we use it

• Sending your request to partner agencies without your name or contact details, and collecting and comparing their offers;
• Answering your questions (by Sara or our residency expert) and delivering answers through the channel you chose, including Instagram Direct Messages when you contacted us there;
• Reviewing contracts you upload;
• Introducing you to the agency you choose;
• Keeping the service secure and preventing abuse.

We do not use your data for advertising, sell it, or build advertising profiles.

4. Legal basis

Under KVKK Articles 5 and 6: your explicit consent (given when you submit a request), the performance of the service you requested, and our legitimate interest in keeping the service secure. You may withdraw consent at any time.

5. Who we share it with

• Partner agencies: only your requirements (city, property type, budget, purpose) under an anonymous code. Your name and contact are shared with one agency only when you ask to be introduced to it.
• Service providers, only as needed to run Vanira:
  • Anthropic PBC (USA): processes messages to generate Sara's replies using the Claude model;
  • Scalaxy B.V. (Netherlands): server and database hosting;
  • Telegram and Meta Platforms (Instagram): when you message us on those platforms.
• Authorities: only where Turkish law requires it.

6. Transfers outside Türkiye

Vanira's servers are in the Netherlands, and conversation messages are sent to Anthropic in the USA for processing. These transfers are made under KVKK Article 9 on the basis of your explicit consent, given when you submit a request or start chatting with Sara. If you do not agree, please do not use the chat and contact us at the privacy email.

7. Retention

• Property requests and contact details: 2 years after the last activity on the request;
• Uploaded contracts: 1 year after upload;
• Conversations with Sara: 12 months after the last message;
• Earlier, whenever you ask (section 9).

After these periods, data is deleted automatically.

8. Security

Contact details and contract files are encrypted at rest, all traffic uses HTTPS, and only authorised Vanira staff can access the admin panel. Each request's follow-up page opens with a random private link; do not share it.

9. Your rights (KVKK Article 11)

You may learn whether and what data we hold about you, obtain a copy, ask for correction or deletion, learn who it was shared with, object to processing, and claim compensation for damage.

Email privacy@vanira.homes, or send your request code (e.g. V-1042) to Vanira on Telegram or Instagram. We respond within 30 days. Deletion instructions: Data deletion.

10. Artificial intelligence

Sara is an AI assistant, not a person. Her answers may contain mistakes and are not formal legal advice. Make important decisions, such as signing a contract, after review by an expert or lawyer.

11. Children

Vanira is for people aged 18 and over and does not knowingly collect data from anyone under 18.

12. Changes

If this policy changes, the new version is published on this page with its update date. For significant changes we notify you through your contact method.
